Where the free plans stop無料プランはどこで止まりますか

The free plans from HubSpot, monday.com and Asana all stop at two people. The third person triggers billing at all three vendors. What differs is where the step up sits and how much leaves the account on the day you sign. The products are not equivalent: HubSpot is a CRM for managing customers and deals, while the other two manage work and progress (monday.com offers a free plan on its work management product).

Three terms. A "seat" is one person's right to log in; you buy one per person. An "item" is a single row on a monday.com "board" (one table, close to an Excel sheet). A "deal pipeline" lays out where an opportunity sits between inquiry, quote and close, and each of those points is a "stage".

What the third person actually costs

Asana is not the only vendor that makes you buy seats in blocks. monday.com sells them in groups: "The pricing works per group of seats and not per seat." The minimum is 3 seats, and official support gives the example of choosing 5 seats for a team of 4. Asana sells 2 to 5 seats one at a time, so there is no step up to 5 people, but the sixth person jumps the plan to 10 seats.

At three people the annual gap is under $150, so the decision is made by the fourth and sixth person. monday.com jumps to 5 seats at 4 people ($540 a year), while Asana stays at 4 seats ($527.52). At the sixth person Asana resizes the plan to 10 seats automatically, adding $10.99 × 5 = $54.95 in one step and taking the year to $659.40.

For HubSpot, the billing cycle matters more than headcount. Starter (officially the Starter Customer Platform, an entry bundle covering marketing, sales, service and two further areas) lists at $20 per seat per month, with a limited-time price for new customers of $7 billed annually (65% off) and $10 billed monthly (50% off). Monthly costs $10 / $7 = 1.43 times annual, and once the discount ends that becomes $20 / $7 = 2.9 times. For 3 seats, annual billing takes $252 at signup, while monthly billing runs from $30 a month at the discounted rate to $60 at list. monday.com also discounts annual billing (18% by its own figure), but its monthly rate could not be confirmed.

Where each free plan stops you

monday.com stops on volume. At one row per deal and one deal per day, 200 items is 200 / 30.4 = about 6.5 months; at three rows per deal it is 200 / (3 x 30.4) = about 2.2 months. Decide how many rows a deal consumes, then divide 200 by it.

HubSpot stops on field count. Custom properties (fields specific to your business that are not there out of the box) are capped at 10 across contacts, companies and deals combined, against 1,000 per object on paid tiers. Industry, renewal month and assigned reseller alone use three. With a single deal pipeline, the deciding line is not how many businesses you run but whether you need two distinct sets of deal stages.

Asana stops on features. Four are unavailable: timeline (the Gantt view that lays out task durations as horizontal bars), dashboards, automation rules and custom fields. The first two are presentation problems, since deadlines and owners can be tracked in a list. The one that halts real work is the absence of custom fields: tasks cannot carry an amount or an owning department, so nothing can be totalled.

What happens to your data at the ceiling

On monday.com, existing data is not deleted when you pass a limit, but "your existing data remains accessible in view-only mode" and no new items or boards can be created. Whether editing remains possible is not stated officially, so confirm with support before you sign. Returning to the free plan requires cutting back to 2 seats first and converting private and shareable boards into regular boards. Column types the free tier does not support cannot be re-added once you remove them, unless you upgrade again. HubSpot's behaviour above 1,000 contacts, and Asana's on downgrade, could not be confirmed officially.

Readers who should look elsewhere

  • Teams that have three or more people in the admin screens but are not ready to commit to an annual software cost. All three vendors bill from the third person.
  • Organisations with nobody who reads English help pages. Prices and specifications come from the English-language official pages.
  • Anyone planning to stay on monday.com with two people for a long time. Automation and integrations are both unavailable, and items stop at 200. For the same two free users, Asana Personal is the less restrictive option.
  • Anyone who wants to total amounts or completion rates per deal in Asana. Personal does not offer custom fields.
  • Anyone considering HubSpot for tracking work progress. It is a tool for managing customers and deals.

Two things to do while you are still free

Load 10 records of your own real data, not fabricated samples. Then, before signing, ask each vendor three questions: whether you can reduce seats and return, whether cancelling annual billing mid-term refunds the remaining period, and whether data entered on the free plan carries over to paid. None of the three could be confirmed on the official pages.

3人目で実際にいくら出ていきますか

席をまとめ買いさせられるのは Asana だけではありません。monday.com は「1席単位ではなく席のグループ単位」(原文:The pricing works per group of seats and not per seat.)で最小3席、公式サポートは4人なら5席を選ぶ例を挙げています。Asana は2〜5席を1席刻みで買えるため5人までは段差がなく、代わりに6人目で10席へ飛びます。

3人時点の年額差は$150以内なので、決め手は4人目と6人目です。monday.com は4人で5席(年$540)に飛び、Asana は4席(年$527.52)で収まります。Asana は6人目で契約が自動的に10席へ書き換わり、$10.99×5=$54.95が丸ごと増えて年$659.40の増額です。

無料のまま使うと、どこで止まりますか

monday.com は件数で止まります。アイテム200件が1案件1行・1日1件なら200÷30.4=約6.5か月分、1案件に3行ぶら下げるなら200÷(3×30.4)=約2.2か月です。1案件に何行使うかを決めてから200で割ってください。

HubSpot は項目の数で止まります。カスタムプロパティ(最初から用意されていない自社独自の項目)は連絡先・会社・取引の合計で10個、有料の1オブジェクト1,000個とは桁が違います。「取引先の業種」「契約更新月」「担当代理店」を足せば3個消えます。商談パイプラインは1本なので、判断ラインは事業の数ではなく商談ステージが2種類必要かどうかです。

Asana は機能で止まります。使えないのはタイムライン(作業の期間を横棒で並べるガントチャート表示)、ダッシュボード、自動化ルール、カスタムフィールドの4つ。前の2つは見え方の問題で、締切と担当はリストでも追えます。実務を止めるのはカスタムフィールドがないことです。タスクに「金額」や「担当部署」を持たせられず、集計に使えません。

上限に達したらデータはどうなりますか

monday.com は上限を超えても既存データは消えませんが、閲覧専用(view-only)になり、新しいアイテムやボードは作れません。編集の可否は公式に明記がないため、契約前にサポートへご確認ください。無料へ戻すには、事前に席を2に減らし、非公開・共有ボードを通常のボードへ変換します。無料で非対応のカラム(列)を無料のあいだに消すと、有料に戻すまで追加し直せません。HubSpot の1,000件超過時と Asana の降格時の挙動は公式に確認できませんでした。

選ばないほうがいい読者像を挙げます

  • 管理画面を触る人が3人以上いて、毎年数万円のソフト代を払い続ける判断がまだできない方。3社とも3人目から課金されます。
  • 英語のヘルプを読む人が社内にいない方。価格と仕様は英語版公式ページの表記です。
  • monday.com を2人のまま長く使うつもりの方。自動化も外部連携も使えず、アイテムは200件で止まります。同じ2人無料なら Asana Personal のほうが緩いはずです。
  • Asana で案件ごとの金額や進捗率を集計したい方。Personal ではカスタムフィールドが使えません。
  • HubSpot を作業の進捗管理に使おうとしている方。これは顧客と商談の管理ツールです。

無料のあいだにやることは2つです

架空データではなく自社の実データを10件入れてください。そのうえで契約前に各社へ、①席を減らして戻せるか、②年払の途中解約で残り期間分は返金されるか、③無料で入れたデータは有料へ引き継がれるか、を聞いてください。いずれも公式ページで確認できませんでした。
