How much are you paying for accounts nobody uses?使っていないアカウントに、いくら払っていますか
Deleting a departed employee's account does not lower that month's bill.
A seat (a licence) is the right for 1 person to log in and use the service. Most SaaS vendors bill on the seat count in the contract, so a seat nobody uses is still billed in full. A seat has 3 states — assigned, unassigned, and removed from the contract — and the bill only falls once the seat reaches the 3rd state. Whether an audit works comes down not to how carefully you do it but to when you do it. (Figures are US dollars unless marked in yen; annual billing, excluding tax.)
Deactivating a user and lowering the bill are not the same thing
HubSpot's official help puts it plainly: “Removing a seat from a user unassigns the seat, but you'll continue to be billed for it.” And: “Remove the unassigned seat to adjust billing.”
There are 3 steps. ① Deactivate the user ② Remove the seat that was assigned to them ③ Delete the seat that is now unassigned. The companies that stop at ② are the ones paying the most. ③ cannot be run until ② is done. You can only delete down to the minimum seat count in your contract; that number differs by contract, and we could not find a uniform figure stated on the vendor's own pages. Check your billing screen or your order form.

All units follow what each vendor's official help pages and terms stated as of August 2026. Sources at the end.
In the official help for monday.com and Asana, we could not find any feature that automatically deactivates dormant accounts (as of August 2026). These 2 vendors assume a manual audit.
Once seats come in blocks, removing 1 person changes nothing
For a company of 4 users, Asana sells exactly 4 seats (Starter, annual billing at ¥1,200 per 1 user per month, so ¥4,800 a month and ¥57,600 a year; in dollars on the English page, $10.99 and $527.52 a year). monday.com has no 4-seat option — after 3 seats comes 5 (Standard, annual billing at $12 per 1 seat, so $60 a month and $720 a year). You pay $144 in 1 year ($12 × 12 months) for 1 seat nobody sits in.
Seat blocks and what actually leaves the account on annual billing (monday.com Standard, USD, excluding tax, verified August 2026)
$12 per 1 seat per month × number of seats × 12 months (USD, excluding tax, annual billing). monday.com bills seats in groups, with a minimum of 3 seats. Its official support has one article saying “3, 5, 10, 15, 20, 30 seats etc.” and another saying seats start at a minimum of 3 and then ascend in multiples of 5, and we could not find the blocks above 20 seats — whether 25 seats can be chosen, for instance — stated on the vendor's own pages. The 5 bars above use only seat counts that both articles allow. At minimum, 4 seats and 9 seats cannot be chosen. Displayed prices may include a limited-time discount, and we could not find the period it applies to, or the price at renewal, stated on the vendor's own pages. monday.com shows US dollars even on its Japanese-language pages, and we could not find a yen price stated on the vendor's own pages (contracting from Japan adds foreign exchange and payment fees on top). Asana's Japanese-language page is in yen, and Starter is ¥1,200 per 1 user per month on annual billing, excluding tax (Japanese consumption tax is charged on top if the billing address is in Japan). Seats are sold individually at 2, 3, 4 and 5, then in blocks of 5, in blocks of 10 above 30 seats, in blocks of 25 above 100 seats, and in blocks of 50 above 500 seats. Sign a 10-seat Standard on annual billing and what leaves the account at signing is not $120 a month but $1,440 for 12 months. Drop 1 person and there is no 9-seat option, so it stays $1,440; only when you fall to 5 seats does it become $720 (a difference of $720 a year).

All 3 vendors let you see who is not using the product, on the screens in the table. What is not obvious is how many days ahead you have to act for it to reach the bill.
Apply 90 days mechanically and you delete an executive's account
HubSpot's automatic deactivation is available on Starter and above for each Hub, and it is on by default. At the start of each month it identifies users with no activity for more than 90 days, and deactivates them on the last business day of that month. 3 notifications go to super admins in between, and a user who logs in before the deadline avoids it. It runs whether or not you remember switching it on. But deactivation does not stop the billing; stopping it takes ② and ③.
An executive who only reads a report once a quarter is caught by a 90-day line as well. Before deactivating, confirm that the person really is done with the product. 90 days is the number HubSpot uses for its own automation, and we could not find any statement on the other vendors' own pages that they use the same threshold. For the others, draw the line by counting back from your own renewal date.
For some readers, this exercise is pointless
A company sitting exactly at the minimum seat count (3 seats on monday.com, 2 on Asana) has nothing to cut. monday.com has a free plan for up to 2 people, so at 2 people or fewer it is quicker to ask whether the free plan is enough than to try to cut. A company with no departures, where everyone logs in every week, is also done once the renewal date is in the calendar.
So what should you do, and when?
You don't know your renewal date — find that out today and stop there. Where to look is Q1 of the flow chart. Nothing below works until you have it.
You have 60 days or more — put “60 days before renewal” in the calendar and you are done. Cutting today does not lower the bill. monday.com is the exception: if someone is not using it, deactivate them today.
60 to 30 days — this is the real work. Look at the last active dates, list everyone unused for 90 days or more, work out whether subtracting them drops you to the next block, and if it does, ask for the seat reduction. For Asana, 30 days before renewal is the deadline in the terms. The version of the terms that applies switches on your renewal date, so confirm your own deadline in the admin console.
You are inside 30 days — Asana will not make this term. Put the 60-day mark in the calendar for the next one. HubSpot still works if you finish deleting the unassigned seats today, and monday.com if you book the seat reduction today.
You are on monthly billing — the renewal comes every month, and the most you can miss is 1 month. Checking the last active dates at the start of each month is enough.
You do not reach the next block — the amount will not move this term. Do the deactivation anyway. It ends the state where someone who has left can see internal information, and the freed seat is ready for your next hire.
If in doubt — create 1 calendar reminder 60 days before the renewal date. Boiled down, that is the whole of what this article asks you to do.

Items we could not find stated on the vendors' own pages: automatic deactivation of dormant accounts on monday.com and Asana; pro-rated refunds or credits when Asana seats are reduced (the terms say no refunds as a rule); a single figure for HubSpot's minimum committed seats and its deadline for reducing seats; monday.com's yen pricing and its seat blocks above 20 seats; and the period covered by the limited-time discount included in monday.com's displayed prices, and the price at renewal.
退職者のアカウントを消しても、その月の請求は下がりません。
「席(シート、ライセンス)」とは、1人がログインして使う権利のことです。SaaSの多くは契約席数で請求するので、誰も使っていない席でも満額請求されます。席には割り当て済み・未割り当て・契約から削除の3つの状態があり、請求が下がるのは3番目まで進んだときだけです。棚卸しの成否は、作業の丁寧さではなく実施するタイミングで決まります。
無効化と、請求が下がることは別です
HubSpot の公式ヘルプにこうあります。ユーザーから席を外すとその席は未割り当てになりますが、その席の請求は続きます(原文:Removing a seat from a user unassigns the seat, but you'll continue to be billed for it.)。請求を調整するには、その未割り当ての席を削除してください(原文:Remove the unassigned seat to adjust billing.)。
手順は3つです。①ユーザーを無効化する ②割り当てられていた席を外す ③未割り当てになった席を削除する。②で止めている会社が、いちばん多く払っています。③は②が済んでいないと実行できません。削除できるのは契約上の最低席数までで、その数は契約ごとに異なり、公式に一律の記載を確認できませんでした。請求画面か契約書で確認してください。

10席のStandardを年払で契約すると、契約時に出ていくのは月$120ではなく12か月分の$1,440です。1名減らしても9席がないので$1,440のまま、5席まで落ちて初めて$720になります(差は年$720)。

使っていない人は、3社とも表の画面で分かります。分からないのは、それを何日前までにやれば請求に効くのか、のほうです。
90日を機械的に適用すると、役員のアカウントが消えます
HubSpot の自動無効化は各Hubの Starter 以上で使え、初期状態で有効になっています。毎月初に90日超の無操作ユーザーが特定され、その月の最終営業日に無効化されます。間にスーパー管理者へ3回通知が届き、本人が期日前にログインすれば回避されます。設定した覚えがなくても動いています。ただし無効化されても請求は止まらず、止めるには②と③が要ります。
四半期に一度レポートを見るだけの役員も、90日で切れば対象に入ります。無効化の前に「もう使わない人」かを確認してください。90日は HubSpot が自社の自動化に使う数字で、他社が同じ基準かは公式に記載を確認できませんでした。他社では自社の更新日から逆算して線を引いてください。
この作業をしても意味がない人もいます
契約が最低席数ちょうど(monday.com なら3席、Asana なら2席)の会社は、下げる選択肢がありません。monday.com は2人まで無料プランがあるので、2人以下なら「減らす」より「無料プランで足りるか」を考えるほうが早いです。退職者が出ておらず全員が毎週ログインしている会社も、更新日をカレンダーに入れるだけで終わりです。
結局、いつ何をすればいいか
更新日を知らない — 今日はそれだけ調べて終わりにしてください。場所はフロー図Q1のとおりです。ここが分からないと以下はどれも効きません。
60日以上ある — 「更新日の60日前」でカレンダー登録して終わりです。今日削っても請求は下がりません。ただし monday.com は例外で、使っていない人がいるなら今日無効化してください。
60日〜30日 — 本番です。最終アクティブ日を見て90日以上使っていない人を洗い出し、引いたら次の刻みまで落ちるかを計算し、落ちるなら減席を申し出ます。Asana は更新日の30日前が規約上の締切です。 適用される規約の版は更新日に切り替わるため、自社の締切は管理コンソールで確認してください。
30日を切っている — Asana は今期間に合いません。来期のため60日前でカレンダー登録を。HubSpot は未割り当て席の削除まで、monday.com は減席の予約まで今日中に終わらせれば間に合います。
月払で契約している — 更新日は毎月来て、取り逃しの上限も1か月分です。月初に最終アクティブ日を1回見る習慣にすれば足ります。
次の刻みまで届かない — 金額は今期動きません。それでも無効化はやってください。社外に出た人が社内の情報を見られる状態が終わり、空いた席は次の採用でそのまま使えます。
迷ったら — 更新日の60日前にカレンダー通知を1つ作る。この記事でやることは、突き詰めればそれだけです。
